All services must be prepaid in full prior to the start of any engagement. Payments may be made via approved methods listed on our invoice or engagement letter. Services will not commence until

Return and Refund Policy

Return & Refund Policy – Bookkeeping Services (NYC)

Effective Date: 11/17/2025

Company: Best Remote Bookkeeper, LLC

1. Overview

This policy governs all prepaid bookkeeping and accounting support services (“services”) offered by Best Remote Bookkeeper, LLC (“we,” “our,” or “us”) to clients in New York City. Because bookkeeping involves the preparation and review of financial records, services often begin soon after payment. Therefore, refunds are only available under the conditions described below.

2. Policy Disclosure (NYC Law)

We comply with New York City Department of Consumer and Worker Protection (DCWP) regulations (6 RCNY § 5-37) requiring that refund policies for services be clearly disclosed at or before purchase.

If we fail to post or provide this policy in writing before you pay, you may have the right to cancel within 30 days and request a refund for any unrendered portion of the service.

3. Cancellation by Client (Before Work Begins)

If you cancel your prepaid bookkeeping engagement before any work begins, you may request a full refund minus:

  • A cancellation processing fee of up to 5% of the total prepaid amount or $50, whichever is less (per 6 RCNY § 5-31(b)(1)); and
  • Any transaction or bank fees we incur for the refund.

Refunds will be processed within 10 calendar days of receiving your written cancellation notice.

4. Cancellation by Client (After Work Has Begun)

If bookkeeping work has already started, your refund will be pro-rated based on:

  • The portion of services already completed,
  • Any data entry, reconciliation, or report preparation already performed, and
  • The same 5% or $50 administrative retention allowed under city rules.

Example: If you prepaid $500 and $300 worth of work has been completed, you would be refunded $200 minus the allowable cancellation fee.

5. Cancellation by Us (Service Provider)

If we are unable to complete your prepaid bookkeeping service for reasons within our control (e.g., staff unavailability, scheduling conflict), we will offer:

  • A full refund of any unrendered portion of your payment, or
  • A credit toward future bookkeeping services, at your choice.

Refunds will be processed within 10 calendar days.

6. Non-Refundable Situations

Refunds are not available if:

  • The bookkeeping work (monthly or one-time) has been substantially completed, or final reports have been delivered.
  • You fail to provide necessary documents, records, or QuickBooks/Xero access, causing delays.
  • The service was discounted or promotional and clearly marked “non-refundable.”

However, you always retain the right to request correction of any errors in your bookkeeping deliverables.

7. Refund Method

Approved refunds are issued using the original payment method (credit/debit card, ACH, PayPal, etc.) unless otherwise agreed.

If the original method is unavailable, we will issue a check or electronic transfer.

8. Timeline for Refunds

We will process valid refund requests within 10 calendar days from written cancellation or confirmation of refund approval, in accordance with § 5-31(c).
