1. Introduction
These Terms and Conditions (“Terms”) govern the relationship between Best Remote Bookkeeper,
LLC (“we,” “our,” or “us”) and each client (“you” or “Client”) engaging our bookkeeping and related
professional services. By engaging our services, you agree to these Terms.
2. Services Provided
We provide remote bookkeeping and data entry services including bookkeeping cleanup, reconciliation, e-commerce payment matching, and support for CPA firms. Our services are designed for CPA firms, retailers, manufacturers, wholesalers, and e-commerce clients.
3. Client Responsibilities
You agree to provide accurate and timely financial data, access credentials, and supporting documents necessary for proper bookkeeping. We are not responsible for delays or inaccuracies caused by incomplete or incorrect information provided by the client.
4. Prepayment Requirement
All services must be prepaid in full prior to the start of any engagement. Payments may be made via approved methods listed on our invoice or engagement letter. Services will not commence until
payment has been received.
5. Confidentiality
We maintain strict confidentiality regarding all client information and financial data, consistent with
professional standards and applicable privacy laws, including the New York SHIELD Act. We do not
disclose any client data except as required by law or with client consent.
6. Limitation of Liability
Best Remote Bookkeeper, LLC will perform all services with due professional care. However, we are
not liable for financial losses, penalties, or other damages arising from client-provided data errors,
software limitations, or external accounting/tax decisions made based on our work.
7. Use of Third-Party Platforms
We use secure, industry-standard tools including QuickBooks, Xero, NetSuite, Sage, Fishbowl, and
others. Clients are responsible for maintaining their own software subscriptions and access credentials.
8. Termination
Either party may terminate services with a written notice of 14 days. Upon termination, clients remain responsible for any outstanding payments for services rendered prior to the effective termination date.
9. Record Retention
We retain copies of client financial records and workpapers for a minimum of seven (7) years or longer if required by law or professional standards.
10. Intellectual Property
All templates, methods, and materials developed by Best Remote Bookkeeper, LLC remain our
intellectual property. Clients receive a limited license to use deliverables for their internal business or
compliance purposes only.
11. Governing Law
These Terms are governed by the laws of the State of New York, including applicable NYC business
regulations. Venue for any legal proceedings shall be within the State of New York.
12. Updates to These Terms
We may modify these Terms from time to time to reflect operational or legal updates. The latest version will be available upon request or on our website.

This policy governs all prepaid bookkeeping and accounting support services (“services”) offered by Best Remote Bookkeeper, LLC (“we,” “our,” or “us”) to clients in New York City. Because bookkeeping involves the preparation and review of financial records, services often begin soon after payment. Therefore, refunds are only available under the conditions described below.
We comply with New York City Department of Consumer and Worker Protection (DCWP) regulations (6 RCNY § 5-37) requiring that refund policies for services be clearly disclosed at or before purchase.
If we fail to post or provide this policy in writing before you pay, you may have the right to cancel within 30 days and request a refund for any unrendered portion of the service.
If you cancel your prepaid bookkeeping engagement before any work begins, you may request a full refund minus:
Refunds will be processed within 10 calendar days of receiving your written cancellation notice.
If bookkeeping work has already started, your refund will be pro-rated based on:
Example: If you prepaid $500 and $300 worth of work has been completed, you would be refunded $200 minus the allowable cancellation fee.
If we are unable to complete your prepaid bookkeeping service for reasons within our control (e.g., staff unavailability, scheduling conflict), we will offer:

However, you always retain the right to request correction of any errors in your bookkeeping deliverables.
Approved refunds are issued using the original payment method (credit/debit card, ACH, PayPal, etc.) unless otherwise agreed.
If the original method is unavailable, we will issue a check or electronic transfer.
We will process valid refund requests within 10 calendar days from written cancellation or confirmation of refund approval, in accordance with § 5-31(c).
